A queue is only as good as its member list. Around Lake Conroe and historic Montgomery, the people who should answer a given call change with the season, the tee sheet and the event calendar, and they are often spread across a clubhouse, a pro shop, a marina office and a sales trailer on one property. Start with a roster, not a ring strategy

Most queue complaints get blamed on the ring strategy. The real cause usually sits further upstream: nobody ever wrote down who belongs in which queue, at what priority, and during which hours.

A queue member is more than a name on a list. On almost every platform, whether a hosted VoIP service, an on-premises IP PBX or Teams Phone, each member carries four settings that decide how it behaves:

  • Priority (tier or penalty). Lower-numbered tiers are offered calls first. Higher tiers only ring when everyone above them is busy, paused or logged out.
  • Ring timeout. How long the queue rings that member before moving on to the next one.
  • Wrap-up time. A rest period after each call before the member is offered another.
  • Membership type. Static members are always in the queue. Dynamic members log in and out with a key, an app toggle or a dialled code.

Before we touch the system, we sit down with whoever runs the front of house and fill in a sheet like the one below. A lake club, an event venue and a dental office will each produce a very different sheet, and that is the point of doing it.

Once that sheet exists, the ring strategy almost chooses itself, and configuration becomes transcription rather than guesswork.

When members work in four buildings on one lakefront property

Along Lake Conroe’s west shore, and in the gated communities off SH 105, one business often occupies a spread of structures: a clubhouse, a pro shop, a cart barn, a marina office on the water, a maintenance building out back. Every one of them needs a dependable network path before a phone inside it can be a dependable queue member.

Getting a network to the far building

Between buildings we use outdoor-rated fiber where a conduit path exists, or a point-to-point wireless bridge where trenching is impractical. Copper Ethernet strung between separate structures invites lightning damage and ground-potential trouble, and on a lakefront property with tall exposed rooflines we advise against it. Each outlying building then gets a PoE switch on a small UPS, so its desk phone keeps its registration through a brief power blip.

Cordless handsets and the invisible member

Staff who walk the grounds usually carry DECT cordless handsets, often with repeaters stretching coverage toward the dock or the patio. DECT is excellent for voice, but it has a quirk that matters for queues: the SIP account is registered by the base station, not by the handset. When a handset wanders out of range, the phone system may still see that extension as registered and available, so the queue keeps offering it calls nobody can hear. Depending on the base, the call either rings out to the member timeout or is rejected quickly. We test that exact case on your equipment, then shorten that member’s timeout, move the handset user to dynamic membership, or add a repeater where the dead zone is.

Wi-Fi handsets and smartphone apps are an alternative, but only on a wireless network planned for voice: enough access points for clean roaming, and a dedicated voice network with QoS markings honoured end to end. A guest Wi-Fi built for checking email will drop a call somewhere between the clubhouse and the slips.

Weekend, seasonal and event staff: dynamic membership done properly

Lake traffic, golf and weddings all run in seasons, and the people answering phones follow the same curve. Static membership suits the two or three people who are always there. Everyone else should be dynamic, because a static member who has gone home still gets rung on every call, and each of those rings adds seconds to the caller’s wait.

Dynamic membership only works if logging in is effortless, so we make it a single touch:

  • A labelled key on each desk phone for each queue, with a light showing whether that person is logged in. A glance tells the manager who is actually taking calls.
  • A login and logout code for phones without spare keys, printed on a card at the station.
  • An app toggle for anyone answering on a smartphone.

Two safety nets stop forgotten logins from hurting callers. The first is automatic pause: when a member lets a queue call ring out, the system pauses them instead of offering them the next caller, and their desk key shows it. The second is an end-of-day reset, either the platform’s own scheduled logout or a small scheduled job where the platform lacks one, so Saturday’s extra help is not still a member on Tuesday morning.

For wedding and event venues in and around the historic downtown, we often build the events queue to accept calls only during tour and office hours. Outside those hours a time condition sends events callers to a mailbox that forwards the message to the coordinator, rather than leaving them in an empty queue.

Tiers, timeouts and wrap-up: the numbers that decide who answers

With the roster set, three timers do most of the remaining work. Getting them to agree with each other is where do-it-yourself setups most often go wrong.

Member timeout versus the extension’s own voicemail

Each member’s extension normally has a personal voicemail set to answer after a number of seconds. If that mailbox answers before the queue’s member timeout expires, the caller lands in one employee’s personal box and the queue records the call as answered. We either keep each member timeout comfortably below the extension’s voicemail timer, or configure the queue to ring the device directly so personal forwarding and voicemail never engage on queue calls.

Wrap-up time

A reservations desk that types notes after every call needs breathing room, usually somewhere between thirty seconds and a minute. Set it too long and callers sit in the queue while members stare at an idle phone. We set it by timing a real call at your desk.

Maximum wait and the exit

Every queue needs a defined exit: after a set wait, the caller moves to the next tier, a second queue, or a mailbox that alerts a named person. We also decide whether callers may enter a queue when no members are logged in at all. For a seasonal pro shop in January the answer is usually no, and callers skip straight to the exit.

The callback cause we see most: one person added to five queues with no priority between them. Whichever queue reaches them first wins, and the busiest line gets starved. We give each queue a weight so the important line is served first.

  1. Walk the property with the manager. Every building, every desk, every spot where someone answers a phone, including the dock and the patio.
  2. Confirm each device’s network path. Registration, PoE budget, VLAN assignment and UPS in each closet or cabinet.
  3. Transcribe the roster. Queues, tiers, static or dynamic, timeouts and wrap-up, straight from the sheet you approved.
  4. Label the hardware. Login keys on desk phones, printed codes where there are no keys, a short card for app users.
  5. Test from outside. Calls from a cell phone on a carrier network, never an internal extension, through every scenario: all members free, first tier busy, members logged out, a member paused, a handset out of range, after hours.
  6. Hand over. A one-page sheet showing who is in which queue and how to add or remove a seasonal member without calling us.

What moves the price on a Montgomery queue job

Frequently asked questions

Can the marina office answer the main line only on weekends?
Yes. The simplest way is to make the marina staff dynamic members of the main queue at a lower priority and have them log in on weekends. If you want it fully automatic, a time condition can route weekend calls to a separate queue in which the marina office is a first-tier member.
Do we need new phones before we can add people to a queue?
Usually not. Any extension that registers to your system can be a member. The exception is older analog phones connected through an adapter: they can be members, but they have no programmable keys, so staff log in with a dialled code and cannot see queue status at a glance.
What do callers hear during a tournament check-in rush when everyone is busy?
Whatever you choose. Common choices are position announcements, music with periodic messages, and after a set wait either a second tier of members or a mailbox that notifies a named person. Some platforms can also offer the caller a callback so they do not have to hold.
Can one person be in the reservations queue and the main-line queue at the same time?
Yes, and it is common. What matters is deciding which queue wins when both have callers waiting, and making sure a member already on a call is not offered a second one. We set both deliberately instead of trusting the defaults.
