Business phone and VoIP installation, engineered for call quality

A modern business phone system lives on your network, not on a pair of copper wires from the phone company — and that single fact is why installation quality matters more now than it ever did. EVOTECH IT LLC designs, installs and configures complete VoIP phone systems for offices across the Katy and Houston area, from a four-phone front desk to a multi-location company with softphones on every laptop and a call queue for the sales team.

We are a licensed and insured low-voltage contractor with more than 20 years of hands-on experience and a 5.0-star customer rating. That matters because most “the new phones sound terrible” complaints are not about the phones at all — they are about the network underneath them: no voice priority, an undersized or unmanaged switch, choppy internet, or cabling that was never rated for the job. We build the whole path correctly so calls are clear on day one and stay that way.

Short answer: for most Katy and Houston offices we recommend a cloud-hosted PBX with SIP trunking, wired Power-over-Ethernet desk phones on a dedicated voice VLAN with quality of service, plus softphone apps for remote and mobile staff — and a professionally planned number port so you keep every existing number. It is the most reliable, lowest-maintenance setup, provided the network beneath it is built for voice first.

Below is a plain-English, no-jargon guide to how these systems actually work, how to choose between cloud and on-premises, what really decides call quality, how we move your numbers without downtime, and exactly what our installation includes — so you can make a confident decision whether you hire us or not. If your project is part of a wider technology refresh, it often pairs with our commercial IT solutions and structured network cabling work.

How VoIP actually works: SIP, RTP, codecs and the PBX

VoIP simply means Voice over Internet Protocol — your voice is turned into data and carried over the same network that moves your email and files, instead of over a dedicated phone line. Understanding the four moving parts helps you see where quality is won or lost.

Digitizing and packetizing the call

When you speak, the phone samples your voice and compresses it with a codec. G.711 is the standard-definition codec most business systems use; G.722 is “HD voice” and sounds noticeably richer on phones and headsets that support it; G.729 squeezes a call into far less bandwidth for sites with thin internet. The compressed audio is chopped into small packets and sent across the network many times per second.

SIP: the signaling

SIP (Session Initiation Protocol) is the language that sets up, rings, transfers and ends a call. It is the dial tone of the internet age. When an extension calls another extension, or reaches out to the public phone network, SIP is what negotiates the connection.

RTP: the actual voice

Once SIP connects the call, the audio itself travels as RTP (Real-time Transport Protocol) packets. RTP is time-sensitive and unforgiving — if those packets arrive late, out of order, or not at all, you hear the clicks, gaps and robotic warble that people blame on “cheap VoIP.” Protecting RTP is the whole game, and it is why quality of service exists.

The PBX and the SIP trunk

The PBX (private branch exchange) is the brain that routes every call — extension to extension, out to a customer, into your auto-attendant. It can live in the cloud or on a box in your closet. The SIP trunk is the modern replacement for the old analog lines and PRI circuits: it connects your PBX to the public telephone network over the internet, and each trunk channel carries one concurrent call. Your phone numbers ride on that trunk as DIDs (direct inward dial numbers) that point at specific extensions, ring groups or menus.

Cloud PBX vs. on-premises: which business phone system fits you

The biggest decision is where the brain lives. Both are excellent when installed correctly; they simply suit different businesses. Here is the honest comparison we give every customer.

Best forMost offices, remote teams, multi-siteHigh call volume, strict control, poor internetLarger sites wanting both

Cloud / hosted PBX (UCaaS)

The PBX runs in a carrier data center and you pay per user per month. There is no server to maintain, upgrades are automatic, and adding a remote worker is as easy as shipping a phone or installing an app. For the majority of small and mid-sized Katy and Houston offices this is what we recommend — it turns the phone system into a predictable monthly cost and puts the same features a large enterprise uses within reach.

On-premises IP-PBX

Here the PBX is a server or appliance in your own equipment room, connected to the outside world by SIP trunks. You get maximum control, calling between extensions keeps working even if the internet drops, and for very high call volumes it can be cheaper over time. The trade-off is upfront hardware cost and ongoing maintenance — which we can handle as part of your managed IT.

Hybrid and legacy key systems

A hybrid keeps a local PBX for survivability while using the cloud for mobility and disaster failover. And if you still run an older “key system” or analog lines, we will tell you honestly whether it is worth keeping, bridging with adapters, or replacing outright — no pressure to rip out gear that still serves you.

Desk phones, cordless, conference units and softphones

The right endpoint depends on the person and the space. We mix and match so nobody pays for features they will never touch, and nobody is stuck with a phone that cannot do their job.

Desk IP phones

The workhorse. A wired handset with a display, speakerphone and programmable keys for speed dials, extensions and line status. Reception and heavy-call staff get models with more line keys and a color screen; back-office staff get a clean two- or four-line phone. All of ours power over the network cable, so there is no wall wart at every desk.

Cordless (DECT) phones

For warehouse floors, retail, medical practices and anyone who cannot sit at a desk, DECT cordless handsets roam across a building on their own base stations while staying on the phone system. Ideal where mobility matters but a full cellular plan is overkill.

Conference phones

Purpose-built for the boardroom or huddle room, with 360-degree microphones that actually pick up the far end of the table. We place and cable them so the room sounds as good to the caller as it does to the people in it.

Softphones and mobile apps

A softphone turns a laptop into a full extension, and a mobile app puts your office number in your pocket — so remote and hybrid staff make and take calls on the company line without exposing their personal cell number. Same extension, same voicemail, same auto-attendant, wherever they are.

Headsets, ATAs and door devices

We fit wired and wireless headsets for call-heavy roles, and use analog telephone adapters (ATAs) to keep a fax machine, overhead amplifier or legacy device on the new system. A SIP door intercom can even ring your desk phones so staff answer the door from where they sit.

Auto-attendant, call routing and the features that run your front desk

A phone system earns its keep in how it routes calls. Configured well, it answers instantly, sends callers to the right person, and never drops anyone into a dead extension. This is where we spend real design time with you.

Auto-attendant and IVR

The recorded greeting that answers your main number — “Press 1 for sales, 2 for service” — and a full interactive voice menu when you need deeper trees. We script the prompts with you, keep them short, and always leave a fast path to a human.

Ring groups, hunt groups and call queues

Ring the whole sales team at once, or hunt down a list one phone at a time, or hold callers in a queue with on-hold music and their place in line during a rush. The right pattern depends on how your team actually works, and we set it to match.

Business-hours and time-based routing

Calls follow your schedule automatically: the receptionist during the day, a queue at lunch, voicemail or an answering flow after hours and on holidays. No more forgetting to “flip the phones” at close.

Voicemail-to-email, find-me and presence

Voicemails arrive in your inbox as audio and text so you can triage them like email. Find-me / follow-me rings your desk, then your cell, so you never miss the important call. Busy-lamp presence keys show at a glance who is on the phone before you transfer.

Recording, analytics and integrations

Optional call recording for training and disputes, live and historical reports on call volume and wait times, and CRM screen-pops that show who is calling before you pick up. We can also tie the phones into overhead paging so a dialed code pages the whole building or a single zone.

Network and cabling readiness: the part that decides call quality

This is the section other installers skip and the reason we do not. A VoIP phone is only as good as the network carrying its packets. Before a single handset goes on a desk, we make sure the path is built for voice.

Bandwidth: how much internet you really need

Each concurrent call uses roughly 85 to 100 kbps in each direction on the standard G.711 codec — so ten people on the phone at once need about one megabit up and down reserved for voice, with headroom on top for everything else. What matters even more than raw speed is a stable, low-latency connection, ideally with enough upload, because upload is where most business internet is weakest.

Network metricGood for voiceWhat goes wrong if it is bad
Latency (one-way)Under 150 msTalk-over and awkward pauses
JitterUnder 30 msChoppy, robotic audio
Packet lossUnder 1%Dropouts and missing words
Bandwidth per call~100 kbps each way (G.711)Calls compete with data and break up

Quality of service (QoS) and voice VLANs

QoS is how we tell your switches and router to treat voice packets as first-class citizens. We mark call audio with the correct priority (DSCP EF) and place phones on a dedicated voice VLAN, separated from computer traffic, so a big file upload can never stutter a customer call. On managed switches we use LLDP-MED so phones drop onto the right VLAN and negotiate power automatically.

Power over Ethernet and cabling

Modern desk phones draw power over the same cable that carries the call, which means a Power-over-Ethernet switch and, in many offices, a switch upgrade. The cabling has to be right too — clean, tested Cat5e or Cat6 runs terminated to standard. If your building needs new or repaired drops, our network cabling crew handles it in the same project so the phone install is not held up by a bad jack.

Porting your existing phone numbers without downtime

Your phone number is on your trucks, your signs, your business cards and every customer’s contact list. You do not have to give it up to move to VoIP. The process is called local number portability, and doing it cleanly is mostly about sequence and paperwork.

How a port works

We collect a recent phone bill and a signed letter of authorization, then submit the port request to your new provider, who coordinates with your current carrier to move the numbers. Simple single-line ports often complete in a week or two; larger accounts with many numbers or a PRI take longer. The exact date is set in advance so there is no guesswork.

How we avoid downtime

The golden rule: never cancel your old service until the port is confirmed complete. Cancel early and the number can be lost for good. We build and fully test the new system on temporary numbers first, so every phone, menu and route is proven before the switch. On cutover day the numbers flip — usually scheduled for early morning or after hours — and calls simply start arriving on the new system. If you also need brand new numbers or a toll-free line, we add those at the same time.

What a professional EVOTECH phone installation includes

“Installation” should mean a complete, tuned, documented phone system your team can actually use — not a box of handsets and a login. Every EVOTECH business phone project includes:

  • On-site survey and call-flow design. We walk your offices, count seats, map how calls should reach each team, and design the auto-attendant and routing before we quote — so the system fits how you actually work.
  • Network and cabling readiness. We check switches, PoE, cabling and internet, and correct what voice needs — QoS, a voice VLAN, tested drops — so calls are clean, not crossed fingers.
  • Provisioning and configuration. Every phone is labeled, assigned, and programmed with the right extension, keys and permissions; voicemail, menus, ring groups and schedules are all built out.
  • Number porting coordination. We manage the paperwork and the cutover so you keep your numbers with no lost calls.
  • Testing and quality tuning. We place real calls inbound and outbound, verify audio both ways, and confirm QoS is holding under load before we call it done.
  • Training and support. We show your staff how to transfer, park, conference, page and pull voicemail, leave you a simple reference, and stay a local phone call away at (832) 359-2425.

Our installation process, step by step

  1. Free on-site estimate. We visit, learn how your calls flow today and where they break down, survey the network and cabling, and give you a clear written scope and itemized quote — no pressure, no invented numbers.
  2. System and call-flow design. We finalize seat count, phone models, cloud or on-premises, the auto-attendant script, ring groups and after-hours routing with you.
  3. Network preparation. We add or upgrade PoE switching, set up the voice VLAN and QoS, and correct any cabling before phones arrive.
  4. Build and provision. We stage and program every handset and softphone, build the menus and routes, and stand the system up on temporary numbers for full testing.
  5. Port and cutover. We schedule the number port for a low-traffic window and switch the system live with your numbers, watching the first calls come through.
  6. Test, tune and train. We verify call quality end to end, tune anything the live network reveals, and train your team on the phones and features they will use every day.
  7. Local support. We are here in the Katy and Houston area — if something needs adjusting later, we are a call away, not a support ticket to another state.

Multi-location, remote teams and hybrid work

One of the biggest advantages of VoIP is that it stops caring where people sit. A single system can tie every office, home worker and cell phone into one seamless directory — something the old copper lines could never do.

One system across many sites

With a cloud or hybrid PBX, your Katy office, your Sugar Land branch and your work-from-home staff all share one phone system. Staff dial each other by short extension no matter the city, calls transfer between locations as if they were down the hall, and a caller to your main number can be routed to whichever office is open.

Remote and hybrid staff

Home and hybrid workers get a desk phone, a softphone on their laptop, or the mobile app — or all three — and appear to customers exactly like anyone at headquarters. There is no separate personal cell number to hand out and no calls slipping through the cracks when someone works from home.

Centralized management and 911 for remote users

Because the system is centrally managed, we can add a user, change a menu or move an extension in minutes, from anywhere. We also pay special attention to emergency calling for off-site users: a softphone can travel, so we configure each remote endpoint with a correct registered location so a 911 call reaches the right dispatch center. If your operation is truly enterprise-scale, we plan link redundancy and failover as part of your commercial IT.

Built for Katy & Houston businesses, small office to multi-site

We install throughout Katy, Houston, Sugar Land, Richmond, Fulshear, Cypress and the surrounding communities, and we design for how businesses here actually run — including our weather. Gulf-coast storms and power blips are a real risk to a phone system, so we build in survivability: automatic failover that reroutes your main number to cell phones or another site if a location loses internet or power, so customers still reach you when it counts.

Small office

A handful of phones, one clean auto-attendant, voicemail-to-email, and the mobile app so the owner never misses a call — all on a cloud PBX with no server to babysit. It is the fastest, most affordable way to sound like a much larger company, and it is what most Katy small businesses should start with.

Growing and multi-site business

Larger operations add call queues, department menus, reporting, CRM integration, multiple locations under one system, and sometimes an on-premises or hybrid PBX for survivability and high call volume. Because everything is parameter-driven, the same platform grows with you — you add seats and sites, not a whole new phone system. Being local means service is a short drive away, and we work around your business hours so the cutover never interrupts a working day.

Common VoIP mistakes that wreck call quality (and how we avoid them)

Almost every disappointing VoIP rollout fails for one of these reasons. Knowing them helps you judge any installer — including us.

  1. Putting phones on an unprepared network. Dropping VoIP onto a flat network with no QoS and a cheap unmanaged switch is the number-one cause of bad calls. We build the voice VLAN and priority first.
  2. Ignoring upload bandwidth. Business internet is often fast down and slow up; voice needs both. We measure real capacity before we promise clean calls, and sometimes recommend an internet change.
  3. No number-porting plan. Cancelling old lines too early, or porting with no cutover window, loses numbers and calls. We test on temporary numbers and flip only when the port is confirmed.
  4. Skipping 911 and compliance. Federal law now requires direct 911 dialing and a dispatchable location. We configure it correctly on every extension, including remote softphones — it is not optional.
  5. Under-designing the call flow. A confusing menu or a ring group that dumps callers into a dead extension costs you business daily. We design routing around how your customers and teams actually behave.
  6. Cheap cabling and PoE. Bargain cable, untested jacks and an overloaded switch fail under load. We use rated, tested cabling and size PoE for every phone. See network cabling.

What affects the cost of a business phone system

Every office is different, so we give real, itemized quotes after a free on-site look rather than a fake “starting at” number. The honest drivers of cost are:

  • Number of seats and phones. How many people need an extension, and which phone model each role needs — a basic desk phone, a receptionist phone with many keys, or just a softphone.
  • Cloud vs. on-premises. Hosted keeps upfront cost low with a monthly per-seat fee; on-premises shifts cost to owned hardware you maintain. We show you both so you can weigh cash flow against control.
  • Network and cabling upgrades. If your switch is not PoE, or drops are missing or failing, that readiness work is part of the project — and it is what protects call quality.
  • Number porting and new lines. Porting existing numbers, adding new direct-dial numbers, or a toll-free line are small, one-time items we itemize clearly.
  • Features and integrations. Call recording, advanced queues, reporting, CRM and paging integration add capability and some cost — you pick what earns its place.

Note that the monthly calling service or SIP trunk is a carrier subscription — we design the system, recommend the right plan for your call volume, install and configure everything, and coordinate it all so you have one accountable local partner. Our estimate is itemized so you can see every part and adjust scope to your budget; any on-site estimate fee is credited toward your project. Frequently asked questions

What is the difference between VoIP and a traditional business phone system?
A traditional system carries calls over dedicated phone-company copper lines; VoIP carries them as data over your internet and network. VoIP costs less to run, adds features like auto-attendants, softphones and voicemail-to-email, and ties multiple locations and remote staff into one system — but it depends on a properly built network, which is exactly what we install.
Can I keep my existing business phone number?
Yes. Moving to VoIP does not mean changing your number. Through local number portability we transfer your existing numbers to the new system. The key is sequence: we build and test everything first and never cancel your old service until the port is confirmed, so no calls are lost.
How long does it take to port my numbers?
Simple single-line ports usually complete in about one to two weeks; larger accounts with many numbers or a PRI circuit take longer. We schedule the exact cutover in advance and run the new system on temporary numbers in the meantime, so your phones keep working the whole time.
How much internet bandwidth do I need for VoIP?
Roughly 85 to 100 kbps per simultaneous call in each direction on the standard codec, so a busy office with ten calls at once needs about a megabit reserved for voice plus headroom for data. Stability and upload capacity matter more than raw speed — we measure your real connection before promising clean calls.
Should I choose a cloud phone system or an on-premises one?
Most Katy and Houston offices are best served by a cloud-hosted PBX: no server to maintain, easy remote workers, and predictable monthly cost. On-premises makes sense for very high call volumes, strict control needs, or sites with unreliable internet where local calling must survive an outage. We help you weigh both honestly.
Will my phones still work if the internet goes down?
With a cloud system, an internet outage stops on-site calling — but we configure automatic failover that reroutes your main number to cell phones or another location so customers still reach you. An on-premises PBX keeps internal and, with backup trunks, external calling alive locally during an outage.
Do I need new network cabling or a new switch for VoIP?
Often some upgrade, yes. Desk phones draw power over the network cable, so you typically need a Power-over-Ethernet switch, and every phone needs a clean, tested cable drop. If your building is short on drops or running old cabling, our network-cabling crew handles it in the same project.
What is QoS and why does it matter for phone calls?
Quality of service (QoS) tells your switches and router to prioritize voice over ordinary data so a large download can never make a call break up. We mark voice traffic at the correct priority and put phones on a separate voice VLAN. Skipping QoS is the single most common cause of choppy VoIP audio.
Can my staff use their cell phones or laptops as work extensions?
Yes. A mobile app puts the office number and extension on a smartphone, and a softphone turns a laptop into a full desk phone. Remote and hybrid staff make and take calls on the company line — with the same voicemail and auto-attendant — without exposing a personal cell number.
Does VoIP support 911, and is it compliant?
Yes, and we set it up to meet federal Kari’s Law and RAY BAUM’S Act requirements: direct 911 dialing with no prefix, a notification to your staff when 911 is dialed, and a dispatchable location so responders reach the right address. We configure this on every extension, including remote softphones that can move.
Can you set up an auto-attendant so callers press 1 for sales, 2 for service?
Absolutely — that is a core part of every install. We script the greeting and menu with you, keep it short, route each option to the right person or team, add business-hours and after-hours handling, and always leave a fast path to reach a live person.
Can I keep some of my existing desk phones?
Sometimes. If your handsets are standard SIP phones in good shape, we may be able to re-provision them onto the new system. Older proprietary or analog phones usually cannot move, but we can keep specific analog devices — like a fax machine — with an adapter. We tell you honestly what is worth reusing.
How many phone lines or simultaneous calls do we need?
You size a VoIP system by concurrent calls, not by physical lines. A rule of thumb is roughly one call path for every three to four staff for a typical office, more for a sales or support team that is always on the phone. We review your real call patterns during the estimate and size it right.
Can one phone system cover multiple offices?
Yes — that is one of VoIP’s biggest strengths. Your Katy, Houston and Sugar Land locations can run on one system with short extension dialing between sites, transfers across cities, and a single directory. Adding a location later means adding seats, not building a whole new phone system.
Do you provide the monthly phone service too, or just the installation?
We design, install, configure and support the entire system and coordinate the calling service and number porting so you have one accountable local partner. The monthly calling service or SIP trunk itself is a carrier subscription; we recommend the right plan for your call volume and set it all up. Call (832) 359-2425 for a free on-site estimate.
